This page says what the software actually does. Where it makes a promise — that a recording is deleted, that a record is removed after a year — something in the code enforces it, not a policy someone remembers to follow.

Your recordings are not kept

When you record an answer, the audio is sent to our server, analysed, and deleted in the same request. If you turn the camera on, the video goes to temporary storage, is read once, and is deleted the same way. Neither is written to our database, and neither can be played back afterwards — not by us, not by the school or agency that set up your link.

A file that is uploaded but never analysed — a closed tab, a dropped connection — is deleted automatically within an hour.

What is kept

From a practice session:

About the person practising: a display name, and whether they are under 18. No email, no password, no phone number, no address. A student practising on a link has no account to create and nothing to sign in to.

About an account holder — the adult, school, or agency who pays: an email address, an optional organisation name, and a record of credits bought and used. Card details are handled by Stripe and never reach us.

Who can see a student’s records

Whoever holds the account the student was added to. That is the point of the product: a coach or a parent set up the link so they could read the reports. Nobody else can — not another account, not another student.

A student on a practice link sees their own reports in their own browser. Their history is stored on their device; clearing the browser clears it.

Who else processes it

Producing a diagnosis means sending your recording, or its transcript, to specialist services. Each one receives only what it needs, and none of them is given your name:

This means personal information is processed outside Canada, including in the United States, where it may be accessible to foreign courts and authorities under the laws of those countries.

How long it is kept

Transcripts and reports are deleted one year after the session that produced them. A scheduled job does this daily; nothing has to be remembered.

Records of credits bought and used are kept longer, because an invoice has to stay answerable. Those hold no transcript, no report, and no student name.

Deleting a student from an account removes their reports and transcripts immediately, along with their practice link.

Students under 18

Some of the interviews this product prepares people for are for applicants aged 13 and up. A student under 18 can only be added by an adult who confirms they are the child’s parent or guardian, or that they have that person’s consent — the software refuses to create the account otherwise.

A parent or guardian may ask us at any time to show what is held about their child, or to delete it. Write to Daniel.kim@ivypath.ai and we will answer within 30 days.

What we will never do

Cookies

Two, both necessary, neither used for advertising. A student following their practice link gets one cookie holding that link, so the rooms open on the next visit; it lasts a year and cannot be read by page scripts. An account holder who signs in gets the session cookies that keep them signed in.

Your rights

Under British Columbia’s Personal Information Protection Act you may ask what personal information we hold about you, ask for a copy, ask us to correct it, and ask us to delete it. Write to Daniel.kim@ivypath.ai. We answer within 30 days. If you are not satisfied you can complain to the Office of the Information and Privacy Commissioner for British Columbia.

Changes

If this page changes in a way that matters, the date at the top changes and account holders are told by email before it takes effect.
